The Regional Facilities Director will have responsibility for maintaining and enhancing the physical condition of a portfolio of about 15-20 properties that are part of privately held portfolio of 65+ retail and industrial properties located in multiple geographic areas. This person must have a thorough understanding of project management, mechanical systems, construction practices, preventative maintenance and governmental regulations. This position requires a comprehensive understanding of facility operations methods and a focus on asset preservation, increasing profitability, enhancing property value and cost control. The candidate will work with the company’s internal asset managers and third-party property management companies to help oversee the physical operations of each property, the general and preventative property maintenance, construction coordination, and other contracted services. The successful candidate should feel comfortable working within a small company environment, enjoy taking on a wide variety of tasks and responsibilities, and be willing to travel on a regular basis. Must have exceptional communication skills to interact with tenants, ownership and vendors. The position will report to the Asset Manager assigned to the individual properties.
Principal Responsibilities:
Work with the company’s internal asset managers and third-party property management companies to manage property operations expenses and contracted services.
Work with the accounting team to ensure timely and accurate payment of invoices.
Identify, scope, prepare bid packages, create project timelines, Gantt charts, cost benefit analysis for capital projects and tenant improvements.
Assist in preparing and overseeing annual operational budgets for each property using Yardi.
Help to manage property operating expenses in conformance with budgets in Yardi, including monthly variance analysis and comments.
Manage relationships with third party contract service providers.
Identify, create and manage preventative maintenance programs to help sustain a safe and reliable environment as well as maintain the physical value of the property.
Manage the work process for both capital projects and ongoing services – including developing scope of work, requests for proposals, evaluating contractor submissions/bids, assuring projects are completed in accordance with terms and scope of work, and all require documentation is delivered prior to project close-out and/or payment.
Conduct periodic property inspections and assess the physical aspects of each property.
Prioritize capital projects to reflect critical needs and affordability.
Develop a 5-year capital plan to continue to maintain and enhance the property’s condition.
Conduct regular site visits at each property, with a minimum of 4 visits per year. This can be as much as 50% travel time.
Develop a working knowledge of tenant leases for each property to determine financial responsibility for operational issues.
Help to resolve escalated tenant/customer complaints and issues.
Establish appropriate relationships with key local and civic leaders (Code Officials, Fire & Safety, etc.).
Assist in coordinating the physical due diligence process for new acquistions.
Minimum Qualifications:
Bachelor’s Degree or equivalent experience.
Minimum 5 years or prior Operations, Facilities or Property Management experience.
Working knowledge of commercial building practices and systems, HVAC, plumbing, and electrical systems.
Proven ability to manage capital projects.
Good communication skills – written and verbal.
Problem solver – ability to identify problems and understand issues and seek out multiple options for ownership to consider. Resolve issues proactively.
Good computer skills (e-mail, Excel, Word, Yardi, Gantt)
