Candidate will be responsible for maintaining the integrity of the physical asset and maximizing the returns from the asset in accordance with the Company's mission, vision, and objectives; ability to convert telephone and walk-in prospects to leases, resulting in maintained and increased occupancy. Effectively communicate with existing residents and establish a successful renewal program. Responsible for production and review of weekly/monthly reports, performing the day-to-day activities of the property in accordance with the standards established by the organization. Maintain office, clerical, filing and record keeping systems. Identify and strive to meet the resident’s needs. Be a supportive leader/team player, driven to help others achieve successful outcomes. Maintaining the physical asset: - Supervises employees and contractors as required
- Assures adherence to specifications (contractual; operations manual).
- Conducts formal site inspections and reports of building interior and exterior conditions.
- Conducts periodic unit inspections and pre-inspections as required by policy manual.
- Makes recommendations for physical repairs and/or replacements, including capital expenditures.
- Maintaining and reporting on property and conditions as requested.
- Ensures that preventive maintenance is performed and that safety regulations are adhered to.
Marketing, leasing and compliance: - Regularly evaluates market conditions and property comparable.
- Creates and Implements marketing plan with approval from Regional Manager and Director.
- Reviews rental applications and lease forms for accuracy and compliance with established policies and procedures.
- Perform move-in inspections and Resident Orientations with new residents.
- Respond effectively to telephone inquiries to generate prospective resident visits to the property.
- Show and demonstrate apartments, utilizing sales skills to demonstrate market ready product and availability to close prospects.
- Follow-up with prospective residents to create and maintain a waiting- list.
- Monitor telephone and walk-in traffic at property via Real Page Software.
- Obtain required income and asset information to process applicants according to required compliance guidelines, including background screening and reference checks.
- Set up, maintain, and audit resident files to ensure consistence compliance.
- Conduct periodic market surveys, as requested.
- Makes recommendations to improve marketing and leasing programs.
Rent management: - Supervise rent collection in accordance with policies and procedures set forth.
- Initiates legal action for non-payment of rent/utilities and follows up accordingly
- Consistent review of resident legers for delinquency reporting, and confirmation of subsidy receipts
- Makes recommendations of rental rates and concessions for new leases and renewals based on current market information.
- Processes and executes rent increases
Financial reporting and control: - Administration and development of annual property management plan and operating budget for assigned property.
- Reviews all monthly financial reports for assigned property
- Accountable for maintaining expenditures according to approved budget and reporting variances when applicable.
- Approves vendor work and payments as required
- Approves expenditures in accordance with company policy and procedures.
- Prepare weekly and monthly reports as required.
- Prepare legal action for evictions, as necessary.
- Approve invoicing.
- Create and file vendor agreements
- Collect, record application fees, security deposits
Administration: - Handle or assist employee selection, training, and control, and assures that all supervised employees comply with the appropriate policies and procedures.
- Interfaces with outside professionals regarding legal, accounting, and other matters, as appropriate.
- Ensures property files and records are maintained.
- Continually improves management and technical skills.
- Responding to agency requirements and reporting as required.
- Spends agreed-upon percentage of time on obtaining market knowledge, community relations, and asset evaluation.
- Prepare and process resident service requests.
- Manage tenant relations, resident problems and complaints concerning rent payments, service
- requests, etc.
- Oversee preparation of newsletters and promotion flyers as required.
- Assist with the planning of community activities and events.
General Office Duties: - Answer telephones determine urgency and respond to all inquiries/requests promptly.
- Respond knowledgeably and positively to questions from the public regarding program eligibility requirements, and provide other information relating to the program.
- Assist to assemble necessary documentation by obtaining all required forms, authorizations and documents from clients.
- Assist with preparation of work order requests and dispatch promptly.
- Efficiently perform administrative duties such as filing, faxing, copying, scheduling, ordering supplies and preparing correspondence.
- Maintain client confidentiality.
