Responsible for monitoring and ensuring the accuracy of Portfolio and related Property Management records, monitoring and enforcement of lease provisions. Become an active participant in ensuring that our annual plan strategic and performance goals are met or exceeded. Administer specialized bidding process for property services and operating budgets, quarterly CAM and semi-annual tax billings. Assist in a meaningful way the maintenance and adherence to lease provisions and tenant communication. Support fellow team members, tenants and vendors with resolving any relationship concerns and overall portfolio performance. Possess a determined willingness to provide exceptional character and attention to detail. Coordinate or direct special projects as requested by management.
Responsibilities will include but not limited to the following:
Responsible for accurate administration of commercial retail lease files and operating document files at the direction of PM or SPM.
Under PM or SPM direction - ensures system generated issuance of timely and accurate tenant billings for rent, including any adjustments, quarterly CAM obligations, and tax billings including the timely payment of the same.
Under PM or SPM guidance – produces and distributes operating reports consistent with department policies and procedures. With the team commit to ensure the fulfillment of our pledge of Excellence in all of our obligations.
May review portfolio receivables monthly, determines collection strategy if necessary, manages clearance of delinquencies or next steps in obligation management.
Produces and issue as necessary notices of default, 3-day or 5-day notices to pay or quit, rent increase/adjustment notices and other necessary tenant relationship correspondence.
Under PM or SPM guidance – Utilizing Yardi inspection platform, conduct and document property inspections, summarize findings and make specific recommendations for mitigation or improvement.
Under PM or SPM guidance – coordinates preparation and distribution of annual tenant notices. Examples include prior year CAM reconciliation, receivables or eligible credits, electronic digital disc preparation for Major National and regional Retail tenants.
Under PM or SPM guidance - coordinates with other departments throughout the organization to ensure the successful provision of property services to our tenant community.
Positively contribute to the excellent working relationships of Primestor including all tenants and vendors.
Develop and provide accurate property data, tenant and vendor communication including retrieval and critical follow-up systems.
Participates in the training or on-boarding of property administrator or temporary staff on relevant processes and procedures as needed.
Under PM or SPM guidance – Assists with launch of new tenants to ensure timely opening and seamless rent commencement eligibility
Bachelor's degree (B.A.) from four-year college or university (preferred); alternately minimum of 2 years related work experience and/or relevant competencies.
Proficiency with Microsoft Office 365: Must be able to create reports, document analysis and budgets. Calculate utilizing software functionality formulas, discounts, interests, commissions and percentages.
Strong written, verbal and presentation skills
Ability to compose reports, business correspondence, curate and/or maintain procedural manuals.
Organizational, analytical and problem-solving skills with excellent attention to detail. Must be able to prioritize work to meet deadlines and strategic goals
Willingness and ability to work independently with a minimum amount of supervision.
Ability to read, analyze and generally interpret general business periodicals, technical procedures or processes, governmental regulations, and legal documents
