The Maintenance Director is responsible for overseeing, planning, coordinating and ensuring the day-to-day and overall operations of the Maintenance department for all properties under Bickerdike‘s management. In all instances, the Maintenance Director must perform in accordance with and be committed to the Bickerdike mission.

Provide direct supervision, evaluation and direction to Maintenance Supervisor, Preventive Maintenance Supervisor, Maintenance Administrator, Maintenance Clerk, and Unit Prep Coordinator; ensure supervision, evaluation and direction to all Janitorial, Maintenance and Unit Prep workers. Carry out the recruitment, screening, training and orientation of new staff, assuring the adherence to all company directives as delineated in the personnel policies and other company and department manuals.
Oversee and establish systems as needed to ensure the effective operations of the maintenance department, ensuring all staff are adequately trained, equipped, work ready and motivated, so that the maintenance program can be accomplished in a safe, timely and cost-effective manner including an effective, proactive team that works together to achieve property objectives and adheres to customer service standards.
Develop, maintain and update operating and training manuals for the maintenance department.
Oversee and ensure the efficient implementation of all relevant aspects of the work order system ensuring efficient and effective systems and operations.
Ensure quality control of all maintenance work performed, including performing on-site inspection of work orders.
Oversee and ensure adherence to company procurement policies and procedures and recommend changes as appropriate.
Oversee, coordinate and ensure effective and efficient systems and operations for vacant unit preparation for rent up which ensures lowest vacancy rates possible and maximizes rental revenue for each development, work with Property Managers regarding issues and priorities and recommend changes in procedures when needed and/or appropriate.
Oversee and coordinate all building and unit inspections from all inspection sources ensuring compliance with all requirements by regulatory and funding entities (REAC, IHDA, CHA, City of Chicago Building Department, other government, funder, etc.) including coordination with property and asset management, advanced physical preparation, day of and follow-up of items resulting from the inspection process, court appearances and ensuring successful inspection outcomes.
Oversee and ensure efficient implementation of all relevant aspects of building maintenance ensuring efficient and effective systems and operations.
Develop and oversee materials inventory and control system in accordance with annual budgets and adhering to all procurement policies and procedures.
Oversee, maintain, monitor and approve all financial matters related to the maintenance department in coordination with the appropriate staff, including, but not limited to: all purchases made by authorized maintenance department personnel, applying invoices to corresponding projects, assisting in the preparation of property budgets, purchasing of equipment and supplies and making effective recommendations for purchases designed to minimize maintenance costs.
Oversee and play an active role in capital improvements planning, scheduling and implementation for each property, including financial planning and oversight for such improvements, in coordination with the Preventive Maintenance Supervisor, Property Management Director and Asset Management Director.
Coordination of emergency response efforts requiring additional follow-up such as insurance claims.
Coordinate and ensure safety program and safety programming for the maintenance department and review safety records and uphold standards of maximum safety for all maintenance department personnel and contractors.
Oversee the strict adherence to the property key control policies and procedures, including but not limited to key cutting, key distribution, tracking and recall, mastering systems, lock changes, rekeying and key storage systems.
Prepare on-call rosters for maintenance personnel and coordinate with security when necessary.
Coordinate special work as necessary (i.e. board-up of buildings, maintenance of newly purchased occupied buildings during tenant relocation).
Be reachable by Bickerdike company phone at all times and participate in the on-call rotation and be on-call for any emergencies that occur after regular office hours, including but not limited to evaluating the need for and dispatching of maintenance personnel or contractors as required, ensuring follow through on dispatched work and carrying out any follow up necessary.
Engage in interdepartmental coordination and interface with the general contractor on new BRC housing during the development, construction, turnover and call back processes, and provide input to materials and systems and engage in periodic construction period inspection of mechanicals and other systems as appropriate.
Ensure a safe working environment and practices which reflect safety as a priority in accordance with the safety program and assist Maintenance Director and Safety Coordinator with coordination of the safety program and safety programming for the maintenance department.
Collect, analyze and distribute work order system data and statistics, including but not limited to: work order volume, type and source; average time to completion; employee completion times and any other pertinent information, and utilize information to evaluate the effectiveness of our system and recommend changes as appropriate.
Oversee and ensure accurate electronic and paper records and record keeping systems are maintained for all areas (i.e. maintenance work orders, contracted work, inventory, equipment, personnel, etc.) in all areas of the Maintenance Department.
Oversee, coordinate and ensure optimal utilization of the integrated capabilities of the property management data management information system through OneSite in coordination with the Technology Manager and Property Management Director and make recommendations for improved system utilization as needed.
Perform other relevant duties as assigned.
QUALIFICATIONS: Bachelor’s degree and minimum 7 years of experience in Maintenance including management and supervision. Maintenance manager training and /or certification preferred. Must possess excellent communication (written & oral) skills. Proficiency in property management software and Microsoft Office a must. Ability to learn and use other software as needed. Excellent organizational skills. Strong customer service skills. Bilingual (English/Spanish) a plus. Must be willing to work flexible hours and be on-call. Must have access to a car, valid driver’s license and proof of insurance for work in the field. West Town, Humboldt Park, Logan Square, Hermosa and Avondale residents preferred.
REPORTING RELATIONS: Under the direct supervision of the Chief Operating Officer. In the absence of this supervisor, shall report to the Chief Executive Officer.
