Candidates for the position shall have a background in property management and/or or degree in Business Administration, Accounting or some other related business curriculum with a working knowledge of real estate investment principles and real estate management. They shall have an understanding of and hands-on experience with word processing and computerized accounting systems. They shall demonstrate good judgement, strong interpersonal skills, an ability to effectively delegate work, effectively communicate, work efficiently, as well as good judgement, initiative, creativity and a dedication of loyalty to the company. The person shall be responsible, mature, personable, have a genuine liking for people, pleasant and intelligent.
The Property Manager shall manage commercial properties owned in-house, including but not limited to the following:
Monitor landlord/tenant relationships and resolve tenant problems.
Meet periodically with tenants to review the status of their tenancies.
Monitor lease terms, including expiration dates, rental increases, percentage rental overrides, option periods, CAM charge-backs, etc.
Not less than once per month, conduct a comprehensive inspection of each property, including review of physical and structural elements.
Monitor the level and quality of services being provided to each property, including landscapers, parking lot cleaning and maintenance personnel.
Be responsible for the hiring and firing of all maintenance personnel, landscapers, and other services provided to each property.
Monitor the physical condition of each property and determine the need for replacements and/or reserves for replacement or repair and arrange for the performance and funding of same.
Obtain bids from contractors for the performance of outside services for each property (including landscaping, parking lot cleaning, maintenance and repair work, capital improvements and tenant improvements), negotiate contracts with such persons and make appropriate recommendations to the Director.
Monitor operating expenses for each property, including utilities, property taxes and insurance.
Work with lease administration to periodically review insurance coverage and tenant insurance certificates for each property and ensure compliance with lease requests.
Review the performance of all improvement work performed on each property (including capital and tenant improvements) whether performed by the Landlord or Tenant – and ensure that the work is performed in a good and workmanlike manner, compliance with all applicable plans, permits and building codes. In connection thereafter, ensure that notices of non-responsibility are timely recorded and posted at all appropriate times.
Prepare annual budgets in Excel for each property and present same to the Director for review and approval on or before August 31st of each year.
Monitor all tenant rent billings and rent collections.
Be responsible for contacting tenants and pursuing all rental collections.
When necessary, initiate and monitor unlawful detainer and collection procedures.
Review and approve all payables for each property in Sage Timberline, including coding all invoices with chart of account numbers established by the Controller quarterly.
Review monthly actual/budget accounting summaries and explain, any major variables monthly to Director. Prepare monthly management reports for properties if required by Director or Lender.
Review and make recommendations to the Director with respect to energy efficiency for each property.
Prepare and maintain full and complete vendor lists for each property in a place accessible to others in case of emergency. List shall include names, address, phone #, and email address for contact and be available for Director and vendor binder at reception desk.
Approve expenditures up to $5,000 for each property.
Prepare and comment on monthly operating and other reports as are required from time-to-time by the President and CEO.
Monitor and review all leasing efforts with respect to each property and make frequent periodic recommendations thereon to the Director.
Prepare monthly leasing status reports with respect to each property and submit to Director.
Participate in lease negotiations on renewal for current tenants as needed (within the parameters set by Senior Vice President of Asset Management and Director).
Plan, coordinate, direct and implement all marketing and promotion efforts with the respect to each Property.
Report all property management problems of a significant nature as well as financial problems of a budgeting nature immediately to the Director.
Be available at all times in the event of emergency.
Perform such other duties as are directed from time-to-time by the Director.
