Hours: 8:30-5:00 p.m., Monday-Friday
**Due to events that may occur into the early evening or on a weekend day, our candidate must be available for such events with the knowledge of flex time for these rare occasions.
About this Job:
As an Administrative Assistant for United Financial Group, Inc. you will play an important role with the onsite management team. Our Administrative Assistants create a positive and lasting influence on visitors, prospects and residents, and understand the importance of first impressions.
Perform the scheduling and coordination of the social events, seasonal parties, luncheons, seminars, trips, tours, etc.
Work with various resident committee members to establish dates for events, plan for staffing of events to include plans for food, beverage, entertainment, serving and clean up
Organize P.R. and resident awareness promotions, track the RSVP’s and handle financial requirements for these events
Track, organize and code invoices and statements coming into the site, research concerns for invoices, obtain Property Director approval and submit to the Appleton Home Office for payment in a timely manner
Track incoming rents, security deposits, and event monies
Deposit monies to the bank, prepare paperwork relative to the deposit for accounting purposes and forward to Home Office
Oversee the monthly creation of the resident newsletter by collecting pictures, articles, resident birthdays, upcoming events, etc. and assure timely printing, completion and distribution with approval of the Property Director
Perform computer entry and data tracking including weekly , monthly, and periodically reports, memos and upkeep of resident information
Conduct tours of site as necessary and answer questions as needed by becoming a resource to both residents and prospective clients regarding the site
Strong computer skill in the Windows environment (Microsoft Word and Excel)
Strong organizational skills
Ability to multi task - handling multiple demands from residents, vendors and staff
Great communication skill and ability to work with people of diverse backgrounds
High level of professionalism
Calm, compassionate and caring
Strong focus on customer service
Enjoys working with the senior 55+ population
Ability to remain calm when others feel there is a crisis
Professional in appearance
Experience and Education:
Prior Leasing experience and understanding of vacancy procedure
Previous Administrative experience
Experience in the Property Management field preferable
Proficiency in Windows, Microsoft Word and Excel
